LaneTally Carriers Page Explained (Video + Steps)
Which carriers do you dispatch for, which drivers and trucks belong to each one, and are their papers up to date? The Carriers page answers all three in one place. Watch the video, jump to any part with the chapters, or read the steps below.
This video explains the carrier file, what the carrier owner may change, documents and renewals, trucks and trailers, drivers and teams, adding and archiving a carrier, what the carrier owner sees, and the phone version.
It uses the free demo with example data, so you can open the same screens yourself.
Playing the video loads it from YouTube (youtube-nocookie.com). Nothing is loaded from YouTube before you press play. The narration voice is computer-generated. English subtitles: turn on CC. Video length 22:38. Published October 26, 2026.

Step-by-step guide
The Carriers page is the file of each company you dispatch for: its details, papers, trucks and trailers, and drivers. Here is each part, in the order the video shows it. The links like (0:50) open the video at that part on YouTube.
1. See the big picture first (0:00)
Which carriers do you dispatch for, which drivers and trucks belong to each one, and are their papers up to date? LaneTally keeps your loads, chat, fleet, freight invoices, driver pay and the books in one place. After this video you know the whole Carriers menu: the carrier file, what the carrier owner may change, documents, trucks and trailers, drivers and teams, adding and archiving a carrier, and the phone. The free demo needs no sign-up and no card and uses fake data.
2. Find Carriers and use the carrier picker (0:50)
Carriers is in the left menu, under Companies and paperwork, right after Fleet. With one carrier picked, the menu says Carrier. With All carriers together, it says Carriers. The carrier picker at the top decides which carrier you work on. It lists All carriers together, and each carrier with your fee. Add a carrier is in this list too.
3. The page top and its buttons (1:21)
The title is the name of the carrier, and everything on the page belongs to this carrier only. At the top right are three buttons: Archived for carriers and drivers you stopped working with, Add a carrier for a new company, and Add a driver for a new driver in this carrier.
4. Carrier details and shortcuts (1:44)
- A green tag says the carrier shares its full books with you. A gray Books private tag means it keeps them to itself.
- The card shows the MC number and the USDOT number. Pay to is the line brokers read on every freight invoice to know how to pay.
- Then the company type, the EIN (only the last 4 digits show), the address, the phone and the billing email.
- Next freight invoice is the number the next invoice of this carrier gets. You get paid says how often, and Loads is how many loads this carrier has.
- Under the details are shortcuts: Its loads, My invoices to it (the weekly fee invoices you send this carrier), Its freight invoices (the invoices it sends to brokers), Cost per mile and Its books. Each one is a menu of its own with the carrier already picked.
- Edit carrier changes everything on this card. It is explained further down.
5. What the carrier owner can change (2:58)
You decide, and each switch can be turned on or off at any time: add and edit their own drivers; add and edit their own trucks and trailers; edit their company details (name, address, phone and emails); upload and replace their own documents; and add and edit entries in their own books. Under each switch it says On: they can do this or Off: they can only look. Press a switch and the line changes and a message confirms it. The carrier owner can never change your dispatch fee, the loads, or your invoices. Those stay yours.
6. Carrier documents, renewals and colors (3:45)
The number in the title is how many documents are on file. The dates to renew also show on the Renewals page, and See all renewals opens it.
- Add a document puts a new paper on file. Download all saves every file of this carrier together. Send documents emails the papers a broker asks for.
- Track more renewals lists papers you may want a reminder for, such as the physical damage insurance, the yearly 2290 tax or the state permits. Press one and the form opens with that paper already picked. The X closes it without saving.
- Each row shows what the paper is (for example the W-9), the file name and when it was added. A paper that runs out also shows its expiry date and the days left: green is more than 30 days, yellow is 30 days or less, and red means it has expired. A paper with no date, like the W-9, has no tag.
- Download saves the file to your computer. Edit opens the paper.
- When the carrier owner uploads a paper, it says Sent by, please check. Check the paper and its date, then press Looks right.
- The list shows the first four. Show all opens the rest and Show fewer closes it.
7. Send documents to a broker (5:27)
Send documents opens a small form. Pick the broker. Under Documents to include there is one switch for each paper that has a file. When a broker usually asks for certain papers, LaneTally ticks those for you, and you can change it. An expired paper is never ticked: get the new one first. Open email opens your email app with the message filled in. Add the files by hand.
8. Add, edit and delete a document (5:59)
- A carrier with no papers yet shows a yellow Missing notice that lists the papers brokers usually ask for before the first load, and the list says No documents yet.
- In Add a document, pick what it is: W-9, insurance, MC authority letter, the yearly 2290 tax, permits, the factoring notice, and more. Expires or due on is for papers that run out. Warn me is how many days before it runs out you want the warning; 30 is the usual.
- Then the file: a PDF or a photo up to 15 MB. It is optional if you only want the reminder. Click the box to choose a file, or drop it there. A note is optional, and only you and this carrier can see it. Press Add document. The paper joins the list with its days left and leaves the Missing notice.
- On a computer, the dash at the top of a form minimizes it so you can look at another page and come back.
- Edit changes what the paper is, the date, the warning days or the note, or replaces the file (leave it empty to keep the old one). Save changes saves it.
- Delete removes the paper and asks first. It says what will be removed and that it cannot be undone.
9. Trucks and trailers (7:41)
The number in the title is how many units this carrier has. Truck adds a truck and Trailer adds a trailer. Each row starts with the unit number painted on the truck, then truck or trailer, the year and make, the plate, and who it is with. Not assigned means no driver has it. A yellow tag warns about the yearly inspection (and the same for the registration); red means expired. A unit with nothing to watch shows no tag. Edit opens it. The first four show, and Show all opens the rest.
10. Add, edit and delete a truck (8:25)
- The Truck form asks for the truck number (the unit number painted on it), the plate (optional), a description like year and make, the date the yearly DOT inspection is due (every truck and trailer needs one every 12 months), and when the registration and plate expire. A photo or PDF of the registration paper and of the inspection report are both optional.
- When you add a driver or a load you pick the truck from this list, and LaneTally warns you 30 days before a date comes up.
- After Add truck, the truck is on the list with no driver yet. Save changes saves what you changed.
- Mark not in use is for a truck that is parked or sold. It stays on file and drops out of the lists when you pick a truck.
- Delete removes it for good and asks first. A truck that is on a driver or on loads cannot be deleted: use Mark not in use instead.
11. Drivers and their tags (10:06)
The number in the title is how many drivers this carrier has. Each row shows the name, the truck number, the phone, and the CDL class with the last 4 digits. On duty means the driver is working and sharing the position; an off-duty driver shows until when. A yellow tag says which paper runs out soon (for example the medical card, 21 days left), and red means a paper has expired. File incomplete means a paper every driver needs is not on file yet. On the right it says On a load or Available. Driver file opens everything about the driver: papers, tax info and details. It is the same file as on the Fleet page, and the Fleet video explains it. Edit opens the driver's details.
12. Add a driver (11:06)
- Type the driver's full name, pick the carrier (it starts as the one you were on), and add the phone. Pick the truck and the trailer from this carrier's list. If the driver drives with a partner in one truck, pick the partner here; the pay is split 50 and 50 and you can change it later.
- Then how the driver is paid: the worker type (contractor or employee; you decide, and your accountant can tell you which), the pay type (per mile, a percent of the load, a flat amount per load, per hour, or a weekly salary) and the amount.
- Then the license: the CDL number (only you and the carrier see all of it), the state, the class, the endorsements (optional), and when the CDL and the medical card expire. LaneTally warns you 30 days before. The hire date is optional. Add the emergency contact (a name and a phone) and the driver's email (optional).
- Nothing is sent until you press Send invitation. A driver belongs to one carrier and sees only the loads booked for them, never the rate or the fee.
- After Add driver, a message reminds you that no invitation was sent yet. The list shows the first four drivers, and Show all opens the rest.
13. Edit, switch off, archive and delete a driver (12:47)
- Edit shows the same boxes as Add a driver, without the pay part. The pay is set in Driver pay. Save changes saves. Send invitation sends the driver the invitation to LaneTally.
- Switch off is for a short break: the driver leaves the lists until you switch the driver on. The driver then shows Switched off in red.
- Archive is for a driver who left. The file and history are kept, read-only, for at least 3 years. It asks first. A driver with a load running cannot be archived: move the load to another driver first.
- Delete driver removes a driver for good. A driver with loads or pay history cannot be deleted: archive instead.
14. Team up two drivers (13:52)
Team up with opens a form for two drivers who drive one truck together. Pick the partner, pick whose truck they share, and set the driver's share of each team load in percent (50 is the usual; the partner gets the rest). Each driver keeps their own login, papers, pay statement and tax papers. A team load shows on both phones and the pay is split by the share. A yellow notice says the truck miles count once, so check the miles in Cost per mile after. Make the team does it, and Cancel changes nothing. If no other driver is free, it says No one to team up with.
Both drivers of a team show a tag, for example Team with the partner's name, and the share. The button then says Team. A new share applies to team loads that are not paid yet; paid statements never change. Save keeps a new share. End this team makes them separate drivers again and asks first. Loads already booked keep their split, so no pay changes.
15. All carriers together (15:24)
Pick All carriers together. The title is All carriers and the menu says Carriers. Every carrier you dispatch for has a card with all of its drivers: the name, the MC number, your fee, and a yellow tag when its documents need attention (a paper is missing or runs out soon). Edit carrier opens its details. Below are its drivers with their truck, trailer and phone, and On a load, Available or Switched off. Two drivers who drive as a team show the same truck. A carrier with no drivers says No drivers yet. Open goes to that carrier with everything on one page. A brand-new carrier shows no papers, trucks or drivers yet, and anything not filled in says Not entered.
16. Add a carrier (16:32)
- Type the company name. The MC number, the USDOT number and the EIN are optional (the EIN shows only as the last 4 digits). Pick the company type: LLC, corporation, sole proprietor or partnership.
- Set how you charge: a percent of the load, or dollars per load, flat. Then your dispatch fee (8 percent is the usual) and whether it is calculated on the load rate or on the total freight.
- Type the next freight invoice number. To continue their old invoices, put the next number they would have used.
- Type the smallest profit per mile you will accept. LaneTally uses it for the Worth it check when you add a load.
- Add the logo (PNG or JPG, optional), which is printed at the top of their invoices, the business address, the business phone, and the billing email where brokers reply about invoices.
- Type how brokers pay you, the remit-to line printed on every freight invoice. Do not type full bank account numbers here.
- If they use factoring, say whether the factoring company gives back its fee when a broker short pays (most do not). The owner's email is optional, and nothing is sent until you press Send invitation.
- Each carrier gets its own private books. You see only what involves you, unless the carrier shares more. Add carrier opens the new carrier with all its cards empty. Now add its drivers, trucks and papers.
17. Edit, archive and delete a carrier (18:14)
- Edit carrier opens the same form with one more row of buttons. Save changes saves. A new fee applies to loads you book from now on; loads already booked keep the percent that was agreed. Send invitation sends the owner the invitation to LaneTally.
- Delete carrier removes a carrier you added by mistake. A carrier with loads, drivers or invoices cannot be deleted: archive it instead.
- Archive carrier is for a carrier you stopped dispatching for. It warns you when the carrier still has loads booked or on the road. Every login of the owner and the drivers switches off, and the records are kept read-only for at least 3 years. The message says where to find it: Archived, on the Carriers page.
18. The Archived page (19:37)
Archived lists the carriers you stopped dispatching for and, below, the drivers who left. Each shows the day it was archived and what was kept: loads, drivers and documents. Nobody can log in as them, and everything is read-only until the date shown. Bring back makes it a normal carrier again and the logins work again. Delete for good is turned off until 3 years have passed. After that it works, and only for you, the owner. The note at the bottom says why: a carrier must keep a driver file for 3 years after the driver leaves, and tax records for years. Back to carriers goes back.
19. What the carrier owner sees (20:21)
The carrier owner has this menu too, and it is called My drivers. There is no Archived and no Add a carrier, because the owner has one company. The owner sees the drivers first, then trucks and trailers, the documents and the company details. A green tag says Your books are shared with your dispatcher; if the books are not shared, it says Your books are private. There is no card for what the carrier owner can change and no Send documents: those are yours. Each button shows only when you left its switch on. If you turn off the trucks and trailers switch, the owner can only look: the Truck and Trailer buttons and every Edit disappear.
20. Use Carriers on a phone (21:14)
On a phone, Carriers is under More, then Carrier. The title and the three buttons are the same, and the cards stack in one column: Carrier details with the shortcuts, What the carrier owner can change with the same switches, Carrier documents with their days left, then Trucks and trailers, and Drivers. Each driver has the same buttons: Driver file, Team up with, and Edit. Forms open full width: scroll down through them, and the X closes them. Tap the carrier name at the top to pick another carrier, or All carriers together.
Next
Next is the Brokers page, where you keep each broker's contact, payment terms and factoring answer: watch the Brokers video and read its steps. The driver file is explained in the Fleet video, and loads in the Loads video.
Every menu of the dispatcher screens now has its own video, and there is one for drivers and one for carrier owners. Want a part of LaneTally shown in more detail? Email support@lanetally.com.
