Trucking Software for Carrier Owners: See Your Dispatcher's Work in LaneTally (Video + Steps)

Your dispatcher books your loads, but do you know what happens with your loads and your money, whether you really make money on every mile, or when your insurance paper has to be renewed? When your dispatcher uses LaneTally, you, the carrier owner or owner-operator, get your own login and see all of it. Carriers whose dispatcher uses LaneTally do not pay: the dispatcher has the subscription. Watch the video, jump to any part with the chapters, or read the steps below.

This video walks through every screen of the carrier owner view: Home, your loads and how the dispatch fee is figured, the fleet, chat, freight invoices and what you owe your dispatcher, driver pay and paying yourself, your books and driver receipts, cost per mile, IFTA, finance, papers and renewals, the Your dispatcher card, privacy, export, and the phone version.
It uses the free demo with example data, so you can open the same screens yourself.

Playing the video loads it from YouTube (youtube-nocookie.com). Nothing is loaded from YouTube before you press play. The narration voice is computer-generated. English subtitles: turn on CC. Video length 16:39. Published October 28, 2026.

Step-by-step guide

When your dispatcher uses LaneTally, you, the carrier owner or owner-operator, get your own login to see your loads, your money and your dispatcher's work. Here is each part, in the order the video shows it. The links like (2:15) open the video at that part on YouTube.

1. See the big picture first (0:00)

Your dispatcher books your loads, but you want to know what happens with your loads and your money, whether you really make money on every mile, and when a paper such as your insurance has to be renewed. With your own login you see all of it in one place: your loads and where they are, freight invoices and what you owe your dispatcher, driver pay, your own books, cost per mile, IFTA and profit, your papers and renewals, and chat with your dispatcher. Carriers whose dispatcher uses LaneTally do not pay: the dispatcher has the subscription. The free demo needs no sign-up and no card and uses fake data.

2. Home: live updates, the tiles and Needs your attention (1:09)

Top left shows who you are: the carrier owner of your company, dispatched by your dispatcher's company. The menu has your loads, chat and fleet, then My company, Money and Tools.

  • At the top of Home, a live line shows what your drivers and your dispatcher just did, such as a receipt photo from a driver. The AI summary of your day is Ready on launch day.
  • A line warns when papers expire soon.
  • Four tiles: loads on the road (and booked and waiting), your cost per mile, loads not booked yet (your dispatcher books them), and profit by week.
  • Needs your attention: LaneTally checks your loads and invoices and points things out, such as a load booked for a driver who is off duty, or a certificate of insurance due soon. You decide what to do.
  • Where the trucks are lists each driver, the truck and where it is. Live GPS is Ready on launch day, and it is shared only while the driver is on duty. Then your recent loads, with what each one pays.

3. My loads and a load on the road (2:30)

My loads lists every load for your trucks, with the money and the miles. Tabs filter the list: not booked yet, booked, on the road, delivered and cancelled. Open a load on the road to see the route on a map, the stops (done and next), the driver, the miles loaded and empty, and the miles by state.

The money part shows the freight, the factoring fee if you use factoring, the dispatch fee, and what you keep before costs. The driver's BOL photo and signed delivery receipt show under Paperwork when the driver sends them. Tracking for the broker is Ready on launch day.

4. The dispatch fee: a percent of the load rate, not the extras (3:39)

Open a booked load to see how the fee is figured. In the example, the freight is $2,750, but $100 of it is extra charges. The dispatch fee is 8% of the $2,650 load rate, not of the extras, and the line under the fee says so: 8% of $2,650 is $212. Factoring is 3% of the whole $2,750, which is $82.50. So you keep $2,455.50 before your costs. The broker tracking link is Ready on launch day too.

5. Fleet: your trucks and their loads (4:28)

Fleet shows each truck and how its load is going: the driver, the truck, on or off duty, the load on the road and the next stop with its appointment time. A driver who is off duty shows until when, with no stop updates. Drivers on duty with no load show as available. The map shows an example position; live GPS is Ready on launch day.

6. Chat with your dispatcher (4:56)

Chat has a group chat with everyone (you, your dispatcher and all your drivers), a private Dispatch chat with only you and your dispatcher, and one private chat with each driver. Only the people in a chat can see it. Type a message, pick the load it is about, and click Send. Your dispatcher sees it right away, with the load, and gets a note on the bell. Writing a message with AI is Ready on launch day.

7. Freight invoices and what you owe your dispatcher (5:28)

Freight invoices are made from the loads, one per load, and go to the broker. Your dispatcher sends them for you.

  • The tiles show the freight still owed by brokers and what is not billed yet, invoices ready to send, invoices missing paperwork, and what was paid this year, added to your books.
  • The last tile is what you owe your dispatcher, and how much more this week when the load on the road is delivered and when the booked load is picked up. It is billed after Sunday, so you see the fee before the bill comes.
  • Open any freight invoice to see who it is billed to, the load, the amount and the balance due. You can download it, or print it or save it as a PDF.
  • Weekly dispatch fee invoices from your dispatcher show what you owe each week. Each line shows the load it comes from, the load rate and the percent, so you can check every fee.

Your dispatcher makes the invoices and marks them paid. When one is paid, it goes into your books on its own.

8. Driver pay and paying yourself (7:16)

Driver pay is where your drivers and you get paid. Each payment marked as paid is added to your books.

  • Two switches: Payroll in LaneTally (drivers get weekly pay statements on their phone) and Let my dispatcher do my books and pay (step 15).
  • The tiles show what you have to pay your drivers and what was paid to drivers this year. How each driver is paid shows each driver's pay, per mile or a percent of the load rate. An extra payment, an advance or a pay change is added right here.
  • Weekly pay statements: one per driver per week, made from the delivered loads, with the load, the miles, the pay, what was added or taken off, and the net pay. Mark as paid adds it to your books.
  • The yearly pay summary shows what each driver earned in the year, for your accountant, as a PDF or a spreadsheet.
  • The Owner tab shows what is left in the books, a set-aside for taxes and what is available to take. Pay myself records an owner draw or a salary in the books.

9. My books and driver receipts (8:40)

My books are your own books. The line at the top says who can see them.

  • For my accountant: your year in one packet, made from your records, with money in this year, expenses and an estimate of the profit. Download a year packet PDF to print, or everything in one zip file. Nothing is sent to anyone: you download it and share it yourself.
  • The month shows money in, money out and what is left over.
  • Receipts from drivers are photos sent from the driver's phone. Review shows what it is for, the amount, and for fuel the gallons and the state, for IFTA. Approve and add to the books adds it with its photo. Reading the photo with AI is Ready on launch day.
  • Entries lists every money in and money out. Every change keeps who made it and when.
  • The Bookkeeper: drop your bank statement file there and approve each line before anything posts. Reading a statement with AI and a live link to the bank are Ready on launch day; the lines shown are examples, marked Example.

10. Cost per mile (10:00)

Cost per mile is all your costs divided by all your miles, loaded and empty. It starts from typed numbers. When LaneTally has enough history from delivered miles and your books, Switch to From LaneTally uses your loads and your books, so nothing is typed twice. The dispatch fee is not part of the cost per mile: your dispatcher's Worth it check takes it off each load. Below: where the money goes (fuel, driver pay, truck payments, maintenance, insurance and more) and the cost per mile of each driver.

11. IFTA miles and gallons (10:41)

IFTA is the fuel tax report every three months: the miles driven and the fuel gallons bought in each state. LaneTally builds it from delivered loads and fuel receipts. Pick the quarter to see the miles by state, the gallons bought and the average miles per gallon, and download it as a CSV that opens in Excel. LaneTally gives the miles and gallons; it does not file the return, so check them before filing. Miles by state from the truck's GPS are Ready on launch day.

12. Finance: profit and profit per mile (11:23)

Finance shows how your company is doing, weekly, monthly or yearly: money in, money out and the profit before taxes, and profit per mile, which is the profit divided by the miles of delivered loads. In the example, $1,857.80 ÷ 705 miles = $2.64 a mile. The charts show money in and money out month by month and profit by period (a column below the line is a loss), where the money goes with the dispatch fees on their own line, and your best brokers by freight. Yearly shows the year so far. Asking AI about these numbers is Ready on launch day.

13. Papers and renewals (12:31)

Papers and renewals lists your company's papers and everything that expires, with what expires first on top, counted as Expired, Coming up and All good: for example the certificate of insurance, a driver's medical card and a truck's yearly inspection. Your papers include insurance, registrations, permits and the MC authority letter. Send a paper uploads a new one: pick what it is, the date it expires and the file, and your dispatcher has it right away. Email and text reminders are Ready on launch day.

14. My drivers and the Your dispatcher card (13:09)

My drivers shows your drivers (duty, the driver file and what is missing), your trucks and trailers, the carrier documents brokers ask for, and your company details.

The Your dispatcher card says what your dispatcher does for you and what you can change: who your dispatcher is, the dispatch fee (a percent of the load rate), billed once a week, Monday to Sunday. Your dispatcher can book loads for your trucks and send them to your drivers, make your freight invoices, send them to the brokers and mark them paid, bill the dispatch fee once a week, and see and do your books and driver pay only if you turned that on in My books. You can change your own drivers, trucks, company details and documents. The dispatch fee, the loads and the invoices stay with your dispatcher: if something should change, ask in Chat.

15. Privacy: what your dispatcher sees (14:06)

In My books, the switch Let my dispatcher do my books and pay decides what your dispatcher sees. Turn it off and your books and payroll stay private to you. Your dispatcher then sees only one number from your books, your total cost per mile, for the Worth it check on new loads: not your entries, your costs or your driver pay. The top of My books and the Your dispatcher card say the same. You can turn sharing back on at any time in My books.

16. Export your data (14:50)

Last on the menu, Export my data downloads a copy of everything about your company, for your records or to move to another program. Download everything saves one Excel file with a tab for each list, or download one list at a time: loads, freight invoices, dispatch fee invoices, book entries and more. It has only your own company, never other carriers your dispatcher works with. Your books also come out as files for QuickBooks, for your accountant. The Import and export video shows these files in detail.

17. On a phone (15:19)

On a phone it is the same LaneTally. The menu at the bottom has Home, My loads, Chat, Fleet and More. Home has the same live line, papers to renew and tiles. More holds everything else: My drivers, Papers and renewals, Freight invoices, Driver pay, My books, Cost per mile, IFTA, Finance and Export. Freight invoices shows what you owe your dispatcher, and each load in My loads is a card with the route, the driver, the status and the pay; open it for the stops and the money, with the dispatch fee.

18. Wrap-up and the free demo (16:17)

That is LaneTally for the carrier owner: your loads, your invoices, your pay, your books and your numbers, and your dispatcher's work, all in one place. LaneTally is dispatch and accounting software, now in beta. You can open the same carrier owner screens yourself in the free demo: no sign-up, no card, fake data. LaneTally gives information only: it is not tax, legal or financial advice, and it does not file IFTA or tax returns.

Next

This is the last video of the series for now: every menu of the dispatcher screens has its own video, and there is one for drivers and this one for carrier owners. Start from the beginning with the Home video, or see them all on the how-to videos page. Each part of the owner view is shown in more detail from the dispatcher's side: the Freight invoices video, the Driver pay video, the Carrier books video, the Cost per mile video, the IFTA video and the Finance video. What your drivers do on their phone is in the Driver app video. Run your own truck without a dispatcher? Read about owner operator software.

Every menu of the dispatcher screens now has its own video, and there is one for drivers and one for carrier owners. Want a part of LaneTally shown in more detail? Email support@lanetally.com.
